Supplier Sustainability Policy

Our basic principles from which we except our suppliers are as follows:

  • All employees of suppliers of Olcay Kilit should be granted internationally recognized human rights and suppliers should act accordingly.
  • Suppliers fairly plan the working hours and leave days by taking the personal rights of our employees into consideration.
  • Employees of suppliers should never be subject to discrimination due to their religion, language, color, gender, political opinion, age or physical disability. Those who act with discrimination can never be ignored.
  • All employees of suppliers should be able to convey their requests and complaints to the management. Solution methods are found for the relevant problems and the complaints are resolved.
  • Suppliers should minimize the dangers in working areas and provide suitable conditions for our employees to work in a safe and healthy environment.
  • Suppliers should intend to meet the expectations of our employees about wages, working conditions and social opportunities. Suplliers offer fair pricing policy to their employees according to their qualifications and provide appropriate working and resting conditions in accordance with legal requirements.
  • Suppliers should provide regular trainings for the health and safety of their employees and raise their awareness. Occupational health and safety rules should be applied in accordance with the determined standards and rules.
  • Child rights should be respected and child employment should not allowed in suppliers' factory as per relevant laws. Supplier should undertake not to make our young employees (interns) work during night hours or under dangerous conditions.
  • Suppliers should carry out in-service training activities to enable their employees improve their knowledge and skills and follow innovations in professional fields.
  • Suppliers should recognise that modern slavery is a significant global human rights issue that includes human trafficking, sexual exploitation, forced and bonded labour, domestic servitude and some forms of child labour. Suppliers' commitment start from protecting and respecting human rights and taking action to prevent slavery and human trafficking in all its forms. Suppliers should be committed to acting ethically and with integrity in all our relationships, and using all reasonable endeavours to take action within our direct operations and wider sphere of influence to ensure that slavery and human trafficking are not taking place.
  • Suppliers of Olcay Kilit should respects of privacy of its emploees, customers and suppliers. It commits to implementing GDPR.
  • Suppliers should undertakes to fulfill its legal obligations for the prevention of corruption, extortion, bribery and to act in cooperation in order to determine, eliminate and prevent any and all illegal works and transactions and to eliminate all kinds of opportunities which may cause corruption, extortion, bribery.
  • Suppliers should keep financial records fully and regularly. Their financial records should be kept in the archive for a period determined by legal limits to review when necessary.
  • Suppliers should ensure that required information, other than confidential business information, is disclosed to the public, employees, customers, creditors and other relevant parties in a timely, accurate, complete, understandable, convenient and affordable manner.
  • Suppliers should avoid any anti-trust action that would harm open market economy and conduct their trade based on fair competition.
  • In case of a conflict of interest, suppliers should set up a complaint system and be proceed pursuant to the responses received in a timely manner.
  • Suppliers should be aware of that the counterfeiting of components is a serious problem that harms the worldwide economy and jeopardises the safety of individuals. They should be committed to preventing the introduction of counterfeit components to the supply chain.
  • Suppliers should abides by all relevant national and international laws and treaties concerning intellectual property rights, and as well,respect the intellectual property rights of third parties.
  • Suppliers should encourage their employees to immediately report possible illegal or non-legal acts or irregularities. In this way, suppliers should respect the confidentiality of the complaint and the information it contains, as well as the identity of the whistleblower or sender, even if it is later proven to be false or unfounded. Threats, retaliation, punishment or discrimination of any kind should not be tolerated against the whistleblower/complainant/reporter or the alleged perpetrator of the crime - or any person who has participated in the investigation of the validity of the complaint.
  • Olcay Kilit expects from its suppliers to have a policy of GHG emissions, energy efficiency, renewable energy, water quality and consuption, air quality, sustainable resources management and waste reduction, responsible chemical management.
  • All workers of suppliers, without exception or discrimination, should have the right to join or form a union and to should bargain collectively according to their choice. Workers' representatives should not be discriminated against and have the capacity to fulfill their representational duties in the workplace. In cases where freedom of association and the right to collective bargaining are restricted by law, suppliers should encourage the right to collective bargaining together with independent and free association and should not prevent the development of parallel methods for organizing.
  • Olcay Kilit expects from its suppliers to have sustainability requirements and also except them to ask their own suppliers to have it.

  • Where relevant and applicable to its business activities, one of the basic principles of Olcay Kilit is to be fully comply with obligations ("Sanction") of economic sanctions and export controls imposed by the Republic of Turkey, the United Nations, the United States of America, and the European Union (respectively "Turkey Sanctions", "UN Sanctions", "US Sanctions" and "EU Sanctions")and by other jurisdictions. All employees and the manager of Olcay Kilit are obliged to act in accordance with this principle.
  • Olcay Kilit encourages its employees to immediately report possible illegal or non-legal acts or irregularities. In this way, Olcay Kilit guarantees the confidentiality of the complaint and the information it contains, as well as the identity of the whistleblower or sender, even if it is later proven to be false or unfounded. Environmental Management Policy

  • To comply with our legal obligations, current environmental legislations and environmental requirements of our customers, To work without harming the ecological balance (To reduce energy consumption and to use renewable energy, decrease greenhouse gas emission rates, reduce water consumption and prevent air pollution),
  • To minimize the wastes at source, reuse and recycle them when possible, dispose of unusable wastes with appropriate methods,
  • To ensure continuous improvement and implementation of the methods to protect the environment and to prevent environmental pollution together with our employees and suppliers.
  • Our company takes over responsibility and implements chemical management program with national and international relevant parties. To provide, manufacture and market safe and sustainable products/raw materials,
  • Actions to be taken during the supply/purchase, use, control, storage, transport of the dangerous and chemical substances, during waste disposal and in case of spillage or contact with them have been determined,
  • We take all environmental responsibilities of our products and services while aiming continuous improvement.

Occupational Health And Safety Policy

Olcay Kilit accepts the human being as the most valuable asset in all activities and adopts it as a priority business goal to create a safe and healthy work environment and to minimize any probable losses. With the participation of all parties in our organization and uncompromising compliance with occupational health and safety standards, our employees are encouraged to become healthy and injuries and illnesses are avoided. Necessary measures are taken to prevent probable accidents caused by process safety; we expand the awareness of our employees, suppliers, visitors, neighbors and official authorities through training, awareness-raising and communication activities.

  • Safe work is a prerequisite for working in Olcay Kilit. For this reason, Olcay Kilit asks all its employees to work safely.
  • All the managers working in Olcay Kilit are responsible for the occupational health and safety of all employees and visitors under their management or control.
  • To achieve zero work accident and occupational disease goal; all the risks arising from our operations, new products, processes and engineering changes are identified and evaluated and these risks are eliminated and/or minimized to an acceptable level through our studies.
  • All the raw materials, packaging materials, machinery, equipment and promotional materials used from the design phase to the consumption of the products are evaluated in terms of their chemical, biological and physical hazards and undergone through an approval process.
  • Our organization complies with international and national regulations and Olcay Kilit’s global standards.
  • All incidents and probable accidents which occur during our activities or may result in injuries are examined and necessary improvements are made to prevent recurrence.
  • All our employees and visitors are equipped with the necessary skills and competencies about occupational health and safety through information and training programs and it is ensured that they increase their personal awareness.
  • We act responsibly towards occupational health and safety issues, information and public sensitivities on the agenda and we work together with all our stakeholders to ensure the development of health and safety culture and improvement of the standards.
  • Our employees are provided personal protective equipment in line with national and international laws to which we are a party.
  • The ergonomics of our workplace is standardized according to 5S rules. In our company, all the machines and equipments are integrated with occupational safety protective materials.
  • Fire extinguisher tubes are provided and periodically replaced for fire protection purposes. Fire Instructions are followed to prevent a fire.
  • Our company provides ckean, healthy and safe working conditions for the employees. Our purpose is to prevent accidents and injuries, to minimize fatigue and excessive use of manpower, absenteesism, waste of time and compensations to be paid due to accidents and sicknesses and maximize the efficiency, quality, safety, comfort and productivity. For that reason, we pay regard to ergonomic structure in relations with human, equipment, business processes being used and work environment in our company.
  • Olcay Kilit has policy of precaution to be ready in emergency situations. Our company created a emergency and contingency plan( Emergency and Contingency Plan- PL.6.1.2.3-1) and this plan hangs where employees see it. Our company conducts a fire drill once a year and provides free first aid training to emploees as many as obligated by local law.

Responsible Sourcing Policy

  • The objective of this Responsible Sourcing Policy (the “Policy”) is to communicate Olcay Kilit's position and expectations with respect to the responsible sourcing of raw materials. The Policy aligns with its sustainability goals. The Policy promotes engagement and standardized communication with Olcay Kilit's suppliers.
  • Our Responsible Sourcing program seeks to ensure ethical practices in our supply chain, reduce impact to the environment and support workers. This aligns with our corporate strategy for sustainability.
  • We buy a lot of different raw materials from an extensive network of domestic and international suppliers and distributors. We recognize that our footprint extends beyond our own operational control and that, in order to make a positive impact, we must influence our entire value chain.
  • We are committed to supplying compliant, consistent, safe, responsibly sourced and sustainable products that push the boundaries of what’s expected. Olcay Kilit considers raw materials as responsibly sourced when they meet our social and environmental expectations (stated in this Policy) or for which continuous improvement plans are in place for suppliers to work on.
  • At the core of our Responsible Sourcing program, we embrace industry partnerships, customer engagements and customized solutions to address complex supply chain sourcing challenges. We cannot do this alone and we rely on strong relationships with our Suppliers to share responsibility in building transparent and ethical supply chains together.
  • Sourcing responsibly requires that Olcay Kilit accurately trace the origins of the materials we purchase. Traceability helps to ensure responsible practices, respect for the environment, and respect for the people and communities in our supply chains. In support of our committment to traceability, suppliers are expected to take ownership and responsibility for requests for ingredient sourcing details.
  • Olcay Kilit uses raw materials which is prodused according to quality standarts. Raw materials and their certificates are checked according to "Acceptance Criteria Table of Certificate (FR:8-5-2-2) by Input Quality Control Specialist and certificates are archivied.
  • We requested IMDS and MSDS reports from suppliers to determine that raw materials are not harmful to human health. MSDS reports are regularly controlled by Job Security Specialist in the Company
